Parcel CRM is built for land investors. It tracks seller leads, buyer criteria, all communications (calls, SMS, email, voicemail drops, direct mail), and the full deal pipeline through e-signed agreements and title closing.
Configure your organization before inviting anyone else.
In Settings, scroll to Team Members. Enter an email address and choose a role, then click Invite. The user receives an email with a sign-in link.

Tip: Set up integrations before inviting agents. Communications features won't work until Twilio and SendGrid are configured.
All integrations are configured in Settings. Features that depend on an unconfigured integration will show an error directing you here.
Credentials are stored securely in your account — never in browser code. All API calls go through Parcel CRM's backend, not directly from the browser.
Find credentials at console.twilio.com. From Number is your Twilio-purchased phone number. Agent Number is the phone that rings on click-to-call. The voicemail script is read aloud by automated drops.
Create an API key at app.sendgrid.com with full Mail Send permissions. From Email must be a verified sender or domain-authenticated address in your SendGrid account.

API key in app.pandadoc.com → Settings → Integrations → API. After saving, create at least one agreement template in Settings → Agreement Templates before sending documents for signature.

Select your county from the preset list if available, or enter your county's ArcGIS feature service URL. Use the Test Lookup button to verify before saving.
Tip: Each integration shows a Completed or Not configured badge at the top of its settings card. Aim for all green before going live.
Seller leads are the core of Parcel CRM. Each record holds all property data, contact info, and the complete history of your outreach.
Every interaction with a seller is logged in the Activity Log. The status pipeline tracks where each deal stands.
The Sellers list can be filtered by status so your pipeline is always visible.
The Activity Log at the bottom of every seller record is the full history of every outreach attempt — date, time, contact method, result, notes, and who logged it.
To log an activity, click any phone number or email address in the contact block at the top of the record. This opens the log modal pre-filled with that contact method. From there:
Tip: Update the lead status at the same time you log an entry. If a call turns into a negotiation, update the status before closing the modal.
Group multiple parcels owned by the same seller so their activity and contact history stays together.
Many land sellers own more than one parcel. The Linked Parcels card on every seller record lets you group those parcels together. Once linked, all records in the group share a combined activity log — every call, SMS, or note logged on any parcel in the group appears on all of them.
To remove a parcel from a group, click Unlink next to that record in the Linked Parcels card. You can link as many parcels as needed into a single group.
Tip: When a contact overlap is detected (two records sharing a phone number or name), a quick-link button appears so you can group them in one click without opening the search.
All outreach tools are on the seller record. Each one logs automatically to the Activity Log.
Click Call on a seller record. Parcel CRM initiates a call from your Twilio number — your agent phone rings first, then connects to the seller when you answer. Requires Twilio with an Agent Number configured.
Click SMS to open the message thread for that seller. Type and send — it goes out from your Twilio number and replies come in automatically. Requires Twilio configured.
Click Email to compose and send directly from the record via SendGrid. Subject and body are saved to the activity log entry. Requires SendGrid configured.
Click VM Drop to send a pre-recorded voicemail without ringing the seller's phone. The message is the Voicemail Script from Twilio settings. Requires Twilio with a Voicemail Script configured.
Click Mail to send a physical letter or postcard. The mailing address auto-populates from the seller record. Lob prints and mails it within 1–3 business days. Requires Lob configured.
Costs: Each method uses your own account and incurs charges from Twilio, SendGrid, or Lob directly. Parcel CRM does not mark these up.
Track active buyers, their acquisition criteria, and their target areas so you can match deals as they come in.
Each buyer has an Interest Areas section with a mini-map. Areas define where they buy geographically and drive the matching engine. Add areas four ways:
A buyer can have multiple areas. All saved areas appear in the list below the map and on the main buyer overview map.
Open any buyer record and scroll to the Matching Sellers card. Every time you open a buyer record the match runs automatically — any active seller with property details filled in is evaluated against the buyer's interest areas and buy box criteria (price, lot size, zoning, utilities, etc.). Each matching result shows which criteria hit and any warnings. Click a seller name to open their record.
Note: A seller only appears in match results if their property details section has been filled in. Sellers with no property details are excluded until that information is added.
At the top of the Buyers view is a Find Buyers For bar. Type a property address and click Match. Parcel CRM geocodes the address and checks every active buyer's interest areas — any buyer whose area covers that location appears in the results. This is the fastest way to find interested buyers the moment a seller agrees to terms.
Once a seller agrees to terms, move the deal through contract and closing.
Admin required: Agreement templates must be created in Settings before you can send documents. If no templates appear, ask your Admin to set them up.
Once the agreement is signed, update status to Under Contract. Use the Title Tracking fields to log the title company, escrow officer, open date, and expected close date. Update to Closed when the deal funds.

Each user's dashboard shows up to 8 configurable tiles. The available tile pool varies by role:
Every user can click the gear icon on the dashboard to choose which tiles they see from their available pool and drag them into the order they prefer.
Admin tip: Your gear icon has three tabs. My Dashboard sets your own view. Agent View Default sets the starting tiles for all agents. Read-only View Default sets the starting tiles for read-only users. Individual agents and read-only users can still personalize their own view within the tiles available to their role.
Go to Reports in the left sidebar for six report tabs. All roles can view reports; the Agents tab is admin-only.
Bring in a list of seller leads from a spreadsheet or migrate from another CRM.
When the importer can't confidently match your column headers on its own, it automatically calls an AI to resolve them. You'll see a brief "Analyzing columns…" message while it runs, then a 🤖 AI-assisted badge on the scan results screen.
Always review the full mapping table when you see this badge. The AI's assignments are a best guess — scroll through the field list and confirm each one makes sense for your file. Every dropdown is editable, so you can correct anything before proceeding to preview.
Over time the system gets smarter: as more files are imported, more column names are resolved locally without calling the AI at all. The 🤖 badge will appear less and less frequently for common file formats.
If you're switching from another CRM (REsimpli, FreedomSoft, Podio, etc.), the importer detects your source from the column signature and pre-loads the appropriate mapping template. Export your data from the source CRM, then follow the CSV import steps above.
The importer deduplicates on APN first, then name + address. Matching records are skipped by default. Use Incremental Sync mode to add only net-new records from a re-exported file.
Large files: Files over 500 records are processed server-side. You'll see a progress indicator and receive an in-app notification when the import completes.
Support is built into the app and available from any page.
Click the chat icon in the bottom-right corner — available here and throughout the app. Ask anything about how the app works, what a field means, or how to accomplish a specific workflow.
Admin tip: The chat panel includes a Share my account data with the assistant checkbox. When checked, basic context is sent alongside your question — your role, plan, total seller and buyer counts, and which view you're on. This helps the assistant give more relevant answers. The option is off by default and you can uncheck it at any time.
Admins: go to Tools → Data Integrity Tests to run 11 automated checks on your data. Run this after any large import.
For the fastest response, use the in-app chat — click the chat icon in the bottom right corner and ask your question directly. For issues that need more detail or a follow-up thread, use the Contact Support button at the bottom of this page's navigation to send a message through the system. Your account details and plan information are included automatically so your request is routed correctly — no need to include them yourself. Priority support is included with Enterprise plans and for Founding Members on any plan.
