Welcome to Parcel CRM

Your complete platform for land acquisitions — from first contact to closed deal.

Parcel CRM is built for land investors. It tracks seller leads, buyer criteria, all communications (calls, SMS, email, voicemail drops, direct mail), and the full deal pipeline through e-signed agreements and title closing.

Account Setup

Configure your organization before inviting anyone else.

First Login

  1. 1
Sign in at parcelcrm.com/app using the email address from your invite link.
  2. 2
A company setup prompt appears automatically. Enter your company name, your name, and optionally a company phone number. This takes 30 seconds and personalizes your account throughout the app.
  3. 3
You land on the Dashboard as Admin. Your company profile can be updated anytime in Settings → Company Profile.

Inviting Team Members

In Settings, scroll to Team Members. Enter an email address and choose a role, then click Invite. The user receives an email with a sign-in link.

RoleWhat they can do
Admin Full access — settings, integrations, all records, billing, team management
Agent Work assigned leads, log activity, send communications, view their own reports
Read Only View records and activity — no edits, no communications

Tip: Set up integrations before inviting agents. Communications features won't work until Twilio and SendGrid are configured.

Integrations Setup

All integrations are configured in Settings. Features that depend on an unconfigured integration will show an error directing you here.

Credentials are stored securely in your account — never in browser code. All API calls go through Parcel CRM's backend, not directly from the browser.

Your First Seller Lead

Seller leads are the core of Parcel CRM. Each record holds all property data, contact info, and the complete history of your outreach.

Adding a Lead Manually

  1. 1
Go to Sellers in the left sidebar and click + Add Seller.
  2. 2
Enter the APN (Assessor Parcel Number). If Parcel Lookup is configured, click the lookup button to auto-fill owner name, property address, mailing address, acreage, and assessed value from county records.
  3. 3
Fill in contact details — phone, email. If you don't have them yet, use Skip Trace after saving (requires BatchData).
  4. 4
Set the Status — start with New Lead.
  5. 5
Save. The record is now in your Sellers list and synced across your team.

Key Fields

  • APN — primary identifier, used for parcel lookup and deduplication on import
  • Property Address vs. Mailing Address — the land location vs. where the owner receives mail. These are often different for rural land.
  • Offer Price / Ask Price — tracked separately so you can see the spread
  • Assigned To — which agent owns this lead

Working a Lead

Every interaction with a seller is logged in the Activity Log. The status pipeline tracks where each deal stands.

Status Pipeline

The Sellers list can be filtered by status so your pipeline is always visible.

New Lead Contacted Negotiating Under Contract Closed Dead On Hold

Activity Log

The Activity Log at the bottom of every seller record is the full history of every outreach attempt — date, time, contact method, result, notes, and who logged it.

Logging an Entry

To log an activity, click any phone number or email address in the contact block at the top of the record. This opens the log modal pre-filled with that contact method. From there:

  1. 1
Select the result — No Answer, Left Voicemail, Spoke with Owner, etc.
  2. 2
Add notes about the conversation or attempt.
  3. 3
Click Save Entry. The entry appears in the Activity Log instantly for all team members.

Tip: Update the lead status at the same time you log an entry. If a call turns into a negotiation, update the status before closing the modal.

Linked Parcels

Group multiple parcels owned by the same seller so their activity and contact history stays together.

Many land sellers own more than one parcel. The Linked Parcels card on every seller record lets you group those parcels together. Once linked, all records in the group share a combined activity log — every call, SMS, or note logged on any parcel in the group appears on all of them.

Linking Parcels

  1. 1
Open a seller record and find the Linked Parcels card.
  2. 2
Click + Link Parcel and search for another seller by name, APN, or record ID.
  3. 3
Select the match. Both records are now in the same group — a group badge appears on each one.

To remove a parcel from a group, click Unlink next to that record in the Linked Parcels card. You can link as many parcels as needed into a single group.

Tip: When a contact overlap is detected (two records sharing a phone number or name), a quick-link button appears so you can group them in one click without opening the search.

Communications

All outreach tools are on the seller record. Each one logs automatically to the Activity Log.

Click-to-Call

Click Call on a seller record. Parcel CRM initiates a call from your Twilio number — your agent phone rings first, then connects to the seller when you answer. Requires Twilio with an Agent Number configured.

SMS

Click SMS to open the message thread for that seller. Type and send — it goes out from your Twilio number and replies come in automatically. Requires Twilio configured.

Email

Click Email to compose and send directly from the record via SendGrid. Subject and body are saved to the activity log entry. Requires SendGrid configured.

Voicemail Drop

Click VM Drop to send a pre-recorded voicemail without ringing the seller's phone. The message is the Voicemail Script from Twilio settings. Requires Twilio with a Voicemail Script configured.

Direct Mail (Lob)

Click Mail to send a physical letter or postcard. The mailing address auto-populates from the seller record. Lob prints and mails it within 1–3 business days. Requires Lob configured.

Costs: Each method uses your own account and incurs charges from Twilio, SendGrid, or Lob directly. Parcel CRM does not mark these up.

Buyer Management

Track active buyers, their acquisition criteria, and their target areas so you can match deals as they come in.

Adding a Buyer

  1. 1
Go to Buyers in the sidebar and click + Add Buyer.
  2. 2
Enter contact info and fill in the Buy Box — price range, lot size range, and any other acquisition criteria.
  3. 3
Save. The buyer appears in your list.

Setting Up Interest Areas

Each buyer has an Interest Areas section with a mini-map. Areas define where they buy geographically and drive the matching engine. Add areas four ways:

  • Pin + Radius — click a point on the map (or type a city name to auto-geocode) and set a radius in miles.
  • ZIP Code — enter a ZIP and the area is defined by the actual ZIP boundary polygon.
  • Draw Polygon — freehand draw any shape directly on the map.
  • Draw Rectangle — drag a rectangle on the map.

A buyer can have multiple areas. All saved areas appear in the list below the map and on the main buyer overview map.

Matching Sellers to a Buyer

Open any buyer record and scroll to the Matching Sellers card. Every time you open a buyer record the match runs automatically — any active seller with property details filled in is evaluated against the buyer's interest areas and buy box criteria (price, lot size, zoning, utilities, etc.). Each matching result shows which criteria hit and any warnings. Click a seller name to open their record.

Note: A seller only appears in match results if their property details section has been filled in. Sellers with no property details are excluded until that information is added.

Finding Buyers for a Property

At the top of the Buyers view is a Find Buyers For bar. Type a property address and click Match. Parcel CRM geocodes the address and checks every active buyer's interest areas — any buyer whose area covers that location appears in the results. This is the fastest way to find interested buyers the moment a seller agrees to terms.

Deal Flow & E-Sign

Once a seller agrees to terms, move the deal through contract and closing.

Admin required: Agreement templates must be created in Settings before you can send documents. If no templates appear, ask your Admin to set them up.

Sending for Signature

  1. 1
Open the seller record and click Agreement.
  2. 2
Select a template. The document previews with seller data merged in. Edit if needed.
  3. 3
Enter the signer name and email, then click Send for Signature. The seller receives an email with a signing link via PandaDoc.
  4. 4
The activity log entry shows the document status. Click ↻ Status on the entry to refresh it (Sent → Viewed → Completed).

Title & Closing

Once the agreement is signed, update status to Under Contract. Use the Title Tracking fields to log the title company, escrow officer, open date, and expected close date. Update to Closed when the deal funds.

Dashboard & Reporting

A live view of your pipeline and team activity.

Dashboard Tiles

Each user's dashboard shows up to 8 configurable tiles. The available tile pool varies by role:

  • Admin — all tiles, including Closed Revenue, Avg Days to Close, and Closed Won
  • Agent — pipeline and activity tiles: Total Sellers, Not Yet Contacted, Offers Out, Outstanding Offer Value, New This Week, Warm Leads, Total Buyers, Active Buyers, Calls Today, Activity Today, Response Rate
  • Read Only — summary tiles only: Total Sellers, Response Rate, Under Contract, Total Buyers

Every user can click the gear icon on the dashboard to choose which tiles they see from their available pool and drag them into the order they prefer.

Admin tip: Your gear icon has three tabs. My Dashboard sets your own view. Agent View Default sets the starting tiles for all agents. Read-only View Default sets the starting tiles for read-only users. Individual agents and read-only users can still personalize their own view within the tiles available to their role.

Reports

Go to Reports in the left sidebar for six report tabs. All roles can view reports; the Agents tab is admin-only.

  • Activity — total contacts made, broken down by method (call, SMS, email, other) and outcome (positive, negative, no result). Filter by date range, population (sellers/buyers), method, outcome, or campaign tag. Exportable to CSV.
  • Connections — tracks seller-to-buyer introductions logged from the buyer match panel. Shows connections count, sellers and buyers involved, and outcome breakdown (introduced, showed, offer made, passed).
  • Conversions — tracks status changes over time. Shows how many sellers moved forward, which transitions happened most often, and which deals progressed toward contract.
  • Campaigns — per-campaign breakdown: total records tagged, how many were contacted, how many responded, and last activity date. Shows response rate per campaign.
  • Closed Deals — summary of all Closed Won records: total deals, total acquisition cost, total sale price, total margin, and average days to close. Detail table shows every closed deal with individual offer price, sale price, margin, close date, and title company.
  • Agents (admin only) — org-wide activity totals and a per-agent leaderboard: calls, average call duration, SMS, email, positive outcomes, and conversion rate. Filter by date range and population.

Importing Leads

Bring in a list of seller leads from a spreadsheet or migrate from another CRM.

CSV Import

  1. 1
Click your avatar in the top-right corner, then choose ⬆ Import Leads from the dropdown, and upload your CSV file.
  2. 2
The field mapper shows your columns alongside Parcel CRM fields. Review every mapping before proceeding — especially if a 🤖 AI-assisted badge appears on the scan results screen, which means some columns were resolved by AI and need a quick human check.
  3. 3
The data quality scan flags formatting issues before anything is written. Fix issues in your source file or proceed with warnings.
  4. 4
Review the summary and confirm. Records are created and synced to your team.

AI-Assisted Mapping

When the importer can't confidently match your column headers on its own, it automatically calls an AI to resolve them. You'll see a brief "Analyzing columns…" message while it runs, then a 🤖 AI-assisted badge on the scan results screen.

Always review the full mapping table when you see this badge. The AI's assignments are a best guess — scroll through the field list and confirm each one makes sense for your file. Every dropdown is editable, so you can correct anything before proceeding to preview.

  • If a mapping is correct — leave it as-is and click Preview Import. The system records your confirmation at full confidence.
  • If a mapping is wrong — change the dropdown to the right field. That correction is written back to the global mapping knowledge base immediately so no future import — by you or any other Parcel CRM account — will get the same wrong result again.

Over time the system gets smarter: as more files are imported, more column names are resolved locally without calling the AI at all. The 🤖 badge will appear less and less frequently for common file formats.

CRM Migration

If you're switching from another CRM (REsimpli, FreedomSoft, Podio, etc.), the importer detects your source from the column signature and pre-loads the appropriate mapping template. Export your data from the source CRM, then follow the CSV import steps above.

Deduplication

The importer deduplicates on APN first, then name + address. Matching records are skipped by default. Use Incremental Sync mode to add only net-new records from a re-exported file.

Large files: Files over 500 records are processed server-side. You'll see a progress indicator and receive an in-app notification when the import completes.

Getting Help

Support is built into the app and available from any page.

In-App Support Chat

Click the chat icon in the bottom-right corner — available here and throughout the app. Ask anything about how the app works, what a field means, or how to accomplish a specific workflow.

Admin tip: The chat panel includes a Share my account data with the assistant checkbox. When checked, basic context is sent alongside your question — your role, plan, total seller and buyer counts, and which view you're on. This helps the assistant give more relevant answers. The option is off by default and you can uncheck it at any time.

Data Integrity Tests

Admins: go to Tools → Data Integrity Tests to run 11 automated checks on your data. Run this after any large import.

Contact Support

For the fastest response, use the in-app chat — click the chat icon in the bottom right corner and ask your question directly. For issues that need more detail or a follow-up thread, use the Contact Support button at the bottom of this page's navigation to send a message through the system. Your account details and plan information are included automatically so your request is routed correctly — no need to include them yourself. Priority support is included with Enterprise plans and for Founding Members on any plan.
